Extensions and users

each staff member gets a unique extension. they can receive calls on their desk phone, their computer via soft phone, or their mobile via the 3CX app. calls follow them across devices. if someone is on a Teams call and a regular call comes in, they can answer it or forward it. no more being unreachable when you step away from your desk.

Hunt groups and call distribution

if multiple people should answer calls to a main number, a hunt group rings them in sequence or simultaneously. a common setup is a reception team hunt group. calls to the main number ring all reception staff at once, and whoever answers first gets the call. if everyone is busy, the call goes to voicemail or a message saying the office is busy.

IVR (Interactive Voice Response)

an IVR is an automated phone menu. "press 1 for sales, 2 for support". 3CX IVR is simple to set up. you define the menu structure, point each option to the right department, and record prompts. staff in other departments don't hear calls meant for sales. call routing happens automatically.

Voicemail to email

voicemails are transcribed (with varying accuracy) and sent to the recipient's email as both audio and text. you can listen from your email without logging into the phone system. voicemail becomes just another message in your inbox, not a separate system to check.

Call recording and compliance

calls can be recorded for quality assurance or compliance. recordings are stored securely and accessible from the 3CX interface. this is valuable for training, dispute resolution, and regulatory compliance. if a customer disputes what was said on a call, the recording is there.

Devices and clients

staff can use 3CX in multiple ways. a traditional desk phone connected via SIP. a soft phone on their computer (Windows, Mac, or Linux). the mobile app (iOS or Android). Microsoft Teams calling. they can switch between devices seamlessly. a call started on a desk phone can be transferred to a mobile for continuity. all presence information syncs: if someone is on a call, the system shows them as busy.

Scalability and growth
