Deployment planning
We start with a site survey and planning workshop. understanding how many users you have. how they work (office-based. remote. mobile). your current phone usage patterns. your network quality (this matters for voice). and your budget. From that. we design a VoIP system that fits your business.
The design covers: infrastructure (where the VoIP server runs. on-premise or cloud). handsets (desk phones. softphones. mobile). incoming lines (business numbers. DIDs). call routing (inbound call flows. extensions. queues). and backup (what happens if internet or power fails).
Hardware and endpoints
Employees can receive calls through multiple endpoints:
IP desk phones
Physical phones that sit on a desk. connected to the network. Standard endpoints for staff who are office-based. We supply and configure phones matched to your needs. from basic single-line units to feature-rich models for receptionists and managers.
Softphones
Software phone on your computer. Windows or Mac. looks and works like a desk phone. useful for staff who move between locations or share desks. doesn't require additional hardware.
Mobile apps
iOS and Android apps. staff use their personal phones on WiFi or 4G to make and receive calls using their business number. Essential for remote workers and field staff.
Number porting
If you have existing business phone numbers from Safaricom. Airtel. or another carrier. you probably want to keep them. We manage the entire porting process. coordinating with your current carrier. filing porting requests. validating that numbers port successfully. and switching traffic to the new 3CX system when everything is ready.
Porting typically takes 5 to 10 business days once the process starts. During that window. we have both systems running so you don't miss calls. On cutover day. traffic switches to 3CX and old numbers stop working elsewhere.
If you don't have existing numbers or want additional numbers. we provision new DIDs (direct inward dial numbers) with carriers. typically KSh 1.500 to 3.000 per month per number depending on volume commitment.
System configuration
Extensions and users
Each staff member gets an extension (e.g. 101. 102). When someone calls the main number and dials that extension. the call routes to them. Whether they're at their desk phone. on softphone. or mobile app. they can answer from anywhere.
Auto-attendant and IVR
Callers hear a greeting: "Welcome to Acme Corp. Press 1 for Sales. 2 for Support. 3 for Accounts." That's an Interactive Voice Response (IVR) system. intelligently routing calls to the right team without staff involvement. We configure IVR flows specific to your business structure and call patterns.
Call routing and forwarding
Calls can be routed by caller ID. time of day. or manually by users. A salesperson on a customer visit might forward their extension to their mobile. a support team might have calls round-robin across available agents. A manager might forward calls to their assistant when they're in a meeting. All configured and changeable by the user through a web portal.
Voicemail
Every extension has voicemail. callers leave a message. the message is transcribed (using AI). and sent to the user via email. You can listen from the app or read the transcription. Much better than traditional voicemail where messages live in a black box.
Redundancy and reliability
A phone system is critical infrastructure. if it goes down. customers can't reach you. We design VoIP systems with redundancy: dual internet connections. automatic failover to backup carrier if your primary ISP drops. backup server ready to take over if hardware fails. call quality is monitored. if a connection degrades. calls are automatically rerouted to a different carrier.
